Introducing FileHound 5.4: Your Home Screen, Built Your Way

For a long time, opening FileHound meant landing on the same fixed view every day, no matter who you were or what mattered most to your role. That changes today.

FileHound 5.4 introduces Dashboards — a home screen you build yourself, made up of widgets covering documents, workflows, storage, credits, tags, contracts and recent activity. Alongside it, we've added retention on folders, clearer error messages from your integrations, and a solid list of smaller fixes and polish.

Here's what's new.

Dashboards: See what matters, the way you want to see it

Every user now gets their own dashboard — or several. Build as many as you like, name them, and choose which one greets you when you log in.

• Drag, drop, resize — arrange widgets exactly how you want, with undo if you change your mind.
• Nothing changes until you say so — press Done to save, or Cancel to put everything back exactly as it was.
• Safety checks built in — if an edit would remove a widget, we'll show you what's being added, changed, or removed before you confirm.
• Search built right in — the same document search box you already know from Document Manager sits at the top of every dashboard.

Choose your own timeframe

Every dashboard can show any period you like — today, the last 7 or 30 days, this month, last quarter, or a custom date range. Each dashboard remembers the period it opens on, and any individual widget can be set to its own period and hold onto it even as the rest of the dashboard changes. Charts automatically group by day, week or month depending on the period, so labels always stay readable.

Running on a financial year?

Administrators can now set when your financial year starts (Admin Centre → Settings), unlocking This/Last financial quarter and This/Last financial year options across every dashboard — with the exact dates shown so there's never any guesswork.

Built for administrators too

A dedicated Admin Dashboard gives administrators a real-time view of seats, storage, SmartCapture and temporary credit usage, document totals, active users and recent organisation-wide activity — figures only administrators can see, and only available on this dashboard. Quick Actions link straight through to Document Manager, My Inbox, Pulse, and the core Admin Centre pages.

Templates that spread good practice

Administrators can publish a dashboard as a template for the rest of the organisation. Taking a template gives you your own editable copy — a great way to roll out a consistent, ready-made view across a team without everyone starting from scratch. Behind every widget, simple data sources with live previews decide exactly what's being counted and how it's grouped.

Folder Retention

Retention rules can now be applied at the folder level, not just per document type. Where both are set, whichever expires sooner takes effect — giving you tighter, more flexible control over how long content is kept. Retention periods can now be set in days and weeks as well as longer spans, and document-level retention can now permanently delete on expiry, just like folder retention already could.

Users, Roles & Sign-In

• Assign a role at the moment you create a user, rather than as a separate step afterwards.
• Granting inbox access now shows a clear list of people to choose from.
• Microsoft Authenticator is now supported for multi-factor sign-in.

Documents

• Folders and lists now update automatically — no more refreshing after moving a document.
• A new tag filter sits beside the folder columns picker, so you can show only the documents carrying the tags you care about.
• Multi-page documents now scroll one page at a time, for smoother reading.
• Search results now page properly, even on large result sets.
• Cancelling the password prompt on a protected document now closes it cleanly.
• Document history now shows when a file was restored from the recycling bin.

Integrations

• When another system rejects a request, FileHound now shows you exactly what it said was wrong — no more guessing.
• Set a maximum length for values sent to another system.
• E-Mail Watcher now tells you why a sign-in attempt failed.

Plus, a raft of smaller fixes

This release also tidies up a long list of details across Dashboards, Documents and Users — from correcting duplicate alert counts and late-evening upload dates, to making the Create User Cancel button behave the way you'd expect. The full list is in our release notes.
