This release makes it easier to work with invoice-style documents, brings a friendlier Integrations setup, and adds support for password-protected documents. We've also spent a lot of this release polishing FileHound based on your feedback — clearer wording, better contrast, and dozens of small fixes.

New

Integrations

FileHound now connects to more of the systems you already use, and setting a connection up is much less of a puzzle.

More systems supported

• Accounting systems — connect Sage (Sage 200), QuickBooks Online and Xero to pull through suppliers, customers, invoices and your chart of accounts, and to send information back out.
• Microsoft Dynamics — support for Business Central, Finance & Operations and Customer Service is now in place. If Dynamics is part of your setup, get in touch and we'll work with you to get it connected.
• Your own systems — connect to any REST or GraphQL service, so in-house and specialist software can be linked up too.
• Spreadsheets and simple lists — use an uploaded Excel file as a data source, or build an editable table or list inside FileHound with no external system needed.

Easier to set up

• A redesigned setup screen guides you through it one step at a time.
• Spreadsheet-based integrations now remember your column order and any edits you've made — including when you clear rows on purpose.
• If something goes wrong when saving, FileHound now tells you instead of appearing to save successfully.
• Technical connection details are easier to read in both light and dark themes.
• Links to a provider's own help pages now open in a new tab, so they work even where your browser blocks embedded pages.

Connected Accounts

A new Authentications area keeps the sign-in details for your connected systems in one place, so a single connection can be reused across as many integrations as you need.

• See every connection at a glance, along with whether it's still valid or needs reconnecting.
• Test a connection before you rely on it. If it's expired, Test is greyed out with a note explaining it needs reconnecting — so you're not left testing something that can't work. Reconnect and Test becomes available again.
• Check where a connection is being used before you change or remove it, and jump straight to any integration relying on it.

Email Collection

Send documents into FileHound simply by emailing them, with a monitored mailbox picking them up for you.

• Connect a mailbox and have incoming messages and attachments filed automatically.
• Sign in securely with Gmail or Microsoft 365, or connect any other mailbox using standard IMAP details.
• If FileHound can't collect from a mailbox, it now tells you why — for example a sign-in problem or an issue with the message itself — instead of quietly doing nothing.

Line Items

Documents with tables of information — invoice lines, nominal codes, quantities — are now much easier to handle.

• Captured rows appear in their own panel next to the document, laid out as a clear table.
• Totals are worked out for you, and update as you make changes.
• Columns have been given more room, so line details are easier to read while indexing.
• When building a form, Line Item fields are now clearly marked as being filled in by SmartCapture — so there's no doubt the field has been set up correctly.

Password-Protected Documents

FileHound now recognises documents that are protected with a password.

• Protected documents show a padlock instead of loading forever — straight away, without needing to refresh.
• Opening one gives you a simple Enter password prompt.
• If the password is wrong you'll now be told, and you can close the prompt and carry on as normal.

Two New Workflow Steps

• Filter — send documents down different paths depending on their details.
• Integration Request — have a workflow talk to one of your connected systems automatically: send details out to it, or fetch information from it to use later in the workflow.

Improved

Repeating Sections In Forms

Forms that repeat a set of fields now behave the way you'd expect:

• You can go back and change the settings of a repeating section instead of deleting it and starting over.
• Removing a repeating section and adding a new one now shows your new fields in the preview, not the old ones.
• Related fields stay together as a set — so a pair like Nominal Code and Nominal Code Description is always added and kept side by side.

FileHound Flow

• Legacy Workflows now has its own place in the menu, rather than being tucked in beside the workflow name.
• Workflow items stay hidden until you've picked a workflow, so an empty screen no longer looks broken.
• Arrows and connectors are easier to grab and move, making workflows less fiddly to lay out.
• Finished workflows now show their outcome, and each workflow is listed only once against a document.

Admin Settings

• Duplicate Detection and Search Index now show when they last ran, and keep that information after a refresh.
• After running a search index, the button pauses for five minutes with a countdown, so it can't be started again while it's still working.
• Tidied up the spacing on the settings screens.

Easier On The Eye

• Text is brighter and clearer throughout FileHound.
• The Admin Dashboard has been lightened.
• Headings stay readable when you have a document open in an Inbox or Folder.
• Wording and capitalisation are now consistent across screens.

Fixes

• "Unlink" instead of "Delete" — removing a link between documents is now called Unlink, making it clear the document itself isn't being deleted.
• Pulse now starts in your own inbox rather than searching everything, so you choose how wide to go.
• Inbox Permissions — a section that was incorrectly labelled Library Permissions twice now reads correctly.
• Reference numbers — when setting up an automatic number, you now see an example of what it will look like (such as ABCD-1234) before you save.
• Indexing — only the sections you actually filled in are saved and shown, and you can add or remove sections as you go.
• Emptying the recycling bin now works for older documents.
• Exporting the audit log now works.
• Duplicate detection is more accurate at spotting and flagging duplicates.
• SmartCapture and text recognition continue to get more accurate and reliable behind the scenes.
